Terms & Privacy.
The terms that govern your use of FamilyVisa.ae, and how we collect, use, and protect your personal information.
Version 2.0 · EffectiveTerms & Conditions

Please read them carefully before you send us any document or payment. If you do not agree with them, please do not use our services. 1. Who we are — and what we are not
- Legal entity: 800 DOCS L.L.C S.O.C, a limited liability company registered in Dubai, United Arab Emirates. Commercial Licence No. 1237998 issued by the Government of Dubai – Department of Economy and Tourism (DET). Licensed activities: visa services, documents clearing and translation.
- Our brands and websites: FamilyVisa.ae (www.familyvisa.ae) and 800 DOCS (www.800docs.ae), including their language versions, landing pages, calculators and tools. These Terms apply to all of them and to any other service we provide to you.
- Office: 709 Business Village, Block B, next to Dubai Clock Tower, Port Saeed, Deira, Dubai, UAE.
- Official contact channels: WhatsApp +971 800 3627 (toll-free from the UAE: 800 DOCS / 800 3627), email info@familyvisa.ae or info@800docs.ae, our websites www.familyvisa.ae and www.800docs.ae, and our office during business hours. See section 11 for what counts as an official channel.
- What we are not: We are not a government authority, ministry, immigration office, court, or official government portal. We are not part of, appointed by, or endorsed by the General Directorate of Residency and Foreigners Affairs – Dubai (GDRFA), the Federal Authority for Identity, Citizenship, Customs and Port Security (ICP), the Ministry of Human Resources and Emiratisation (MOHRE), the Dubai Land Department (DLD), the Ministry of Foreign Affairs (MOFA), the Dubai Health Authority (DHA), the Ministry of Health and Prevention (MOHAP) or any other authority. We have no special access, privilege or influence over any of them.
- You can always apply directly: Every application we handle can be submitted by you directly through the official government channels, such as icp.gov.ae, gdrfad.gov.ae and u.ae. Using our service is your choice. Government fees are set by the authorities and are paid to them; our service fee is charged separately and disclosed to you before you commit.
- Not legal advice: We are not a law firm and do not provide legal or immigration advice. Anything we tell you about requirements, eligibility, fees or timelines is general information based on published rules and our experience, provided to help you instruct us. Only the relevant authority decides whether you or your dependants qualify.
2. Definitions
- "Application" means any request, form, filing, renewal, amendment, cancellation, status change, registration, booking or other transaction that we prepare, type, upload or submit to an Authority on your behalf, including visas, entry permits, residence permits, Emirates ID, medical fitness bookings, labour and establishment transactions, attestation, translation, property-related filings, powers of attorney, wills and similar services.
- "Authority" means any UAE federal or emirate-level government body, department, court, medical centre, typing system or government portal involved in your Application, and any body acting for it.
- "Government Fees" means all fees, charges, deposits, guarantees, fines and penalties set and collected by an Authority, which we pay on your behalf from the funds you give us, or which you pay directly.
- "Service Fee" means our own charge for preparing, typing, submitting and following up your Application, as stated in your Quotation, exclusive of Government Fees, VAT and third-party charges.
- "Quotation" means the price breakdown we send you (for example on WhatsApp, by email or through our online calculator link) for a specific Application. The Quotation forms part of these Terms for that Application.
- "You" / "Customer" means the person who requests our services, whether as the applicant, the sponsor, or the authorised representative of either, together with the applicant and sponsor themselves.
- "Services" means everything we do for you under these Terms.
3. Our role: we apply on your behalf, nothing more
This is the most important section of these Terms. Please make sure you understand it before proceeding.
- We act only as your authorised representative for submission. When you instruct us, you appoint us to prepare, type, compile and submit your Application to the relevant Authority in your name, to pay the Government Fees from the funds you provide, to follow up its status, and to pass on to you whatever the Authority asks for or decides. In practical terms our role is that of a courier or messenger: we carry your Application, in the form you have approved, to the Authority, and we bring the Authority's answer back to you.
- The Authority decides everything. Whether an Application is accepted, approved, approved with conditions, put on hold, referred for further checks, rejected or later cancelled; what documents, tests, interviews, deposits or undertakings are required; what fees apply; how long the process takes; what validity is granted; and whether any fine, ban or other measure applies — all of these are decided exclusively by the Authority under UAE federal and emirate laws, regulations, policies and internal practices. We have no part in those decisions.
- Rules change without notice. Authorities change their requirements, fees, systems and policies from time to time, sometimes without publication and sometimes with effect on applications already submitted. Any such change applies to your Application and is not a failure on our part.
- We cannot influence, expedite or guarantee anything. We cannot obtain approvals, shorten processing times, waive requirements or fines, overturn a rejection, remove a security hold or ban, obtain reasons that the Authority does not disclose, or provide any assurance about the outcome, timing, validity, or cost of any Application. Anyone who promises you these things is not acting for us.
- Our information is not a promise. Eligibility indications, document checklists, cost estimates (including from our online calculator) and expected timelines are general information given in good faith. They are not binding on any Authority and are not a guarantee of any result.
- After submission the Application is out of our hands. Once an Application has been submitted, it is under the control of the Authority. We may not be able to withdraw, amend, pause or expedite it, and any request to do so is subject to the Authority's rules and fees.
- You remain the applicant of record. The Application is yours. You (as applicant and/or sponsor) remain legally responsible to the Authority for its content, for the documents supporting it, and for complying with the conditions of any visa, permit or document issued as a result.
4. Your authorisation and confirmations
By instructing us, you authorise us to act as described in section 3 and you confirm to us that:
- You have the right to make the Application — you are the applicant or sponsor, or you have been authorised by them, and you are legally entitled to apply for what you have asked us to submit.
- Everything you give us is true, complete and authentic. Every document, image, figure and statement you or anyone acting for you provides is genuine, unaltered, current and accurate, and you have not omitted anything that could affect the Authority's decision.
- You have the consent of every person whose data you share — including your spouse, children, parents, domestic workers, employees and any other family member or dependant — to give us their documents and information for the Application.
- You will sign or provide what the Authority requires, such as authorisation letters, undertakings, sponsorship declarations, powers of attorney, security deposits or guarantees, when we ask for them.
- You understand our role as set out in section 3 and you are not relying on any promise of approval, timing or outcome.
5. Your responsibilities
- Provide documents and information on time and in the format we request. Delays or gaps on your side delay or jeopardise your Application.
- Review and approve the draft before submission. Where we type an Application, we will share the typed details (names, passport numbers, dates, spellings, addresses, salary, sponsor details and so on) for your approval. You are responsible for checking them. Once you approve, or ask us to proceed, any error in the approved details is your responsibility; corrections after submission are made at the Authority's amendment fees, if the Authority permits them.
- Attend in person where required. Medical fitness tests, biometrics, interviews, signatures, court appearances and Emirates ID appointments must be attended by the applicant personally, at the place and time the Authority sets.
- Keep your status and deadlines under your own control. You are responsible for tracking passport validity, visa and permit expiry dates, grace periods, entry and exit requirements, change-of-status deadlines, insurance validity and any condition attached to a visa or permit. We may send reminders as a courtesy, but we do not undertake to monitor your status.
- Tell us promptly about any change that could affect an Application — travel plans, change of employer, salary, accommodation, marital status, family composition, address, contact number, or a decision to stop the process.
- Pay Government Fees, fines and third-party charges as they fall due, including any increase or additional charge imposed by an Authority before or during processing.
- Comply with UAE law, including immigration, labour, residency, health, data-protection and public-conduct rules, and do not ask us to do anything unlawful, misleading or contrary to an Authority's rules.
- Keep your contact channel active and check it. We communicate mainly on the WhatsApp number or email you first contacted us from (see section 11).
6. Quotations, fees and payment
- What the Quotation shows. Your Quotation separates (a) Government Fees, which we pass on at cost as published by the Authority at the time of quotation, and (b) our Service Fee. Government Fees can change without notice; if they change before we submit, the difference is payable by you (or refundable to you) in full. Our Service Fee is fixed for the scope described in the Quotation.
- VAT. Our Service Fee is subject to UAE Value Added Tax at the prevailing rate where applicable, and a tax invoice or receipt is issued for every payment to us.
- Calculator and online estimates. Figures produced by our online cost calculator, quote links, articles and pages are estimates for information only. Unless stated otherwise they exclude our Service Fee, VAT, deposits, guarantees, fines, medical, typing, translation, attestation, insurance and courier charges, and they may be out of date if an Authority has changed its fees.
- Payment before work. We start work, and pay Government Fees on your behalf, only after your payment has cleared into our account. If you pay in instalments as agreed in your Quotation, we proceed to each stage only after the corresponding payment.
- Authorised payment channels only. We accept payment only through: (i) secure payment links generated and sent to you by us from our official channels; (ii) bank transfer to the corporate account of 800 DOCS L.L.C S.O.C at Emirates NBD (details are sent to you from our official channels and shown at www.familyvisa.ae/payment-all/); (iii) card payment on our point-of-sale terminal at our office; (iv) cash, strictly in person at our office and only against an official receipt; and (v) Buy-Now-Pay-Later providers (Tabby, Tamara) through links we send, subject to those providers' own terms and any charges they apply.
- Never pay an individual. No employee, agent, driver, courier or other person is authorised to receive cash or transfers on our behalf outside our office or outside the channels above. Any payment made to a personal account, to an unofficial number, or in cash outside our office is made entirely at your own risk and does not count as payment to us.
- Additional work is charged separately. Resubmissions, appeals, amendments, additional dependants, expedited or urgent services, medical bookings, translation, attestation, insurance, courier, requests to an Authority for the refund of Government Fees (see section 9), and any work outside the scope of the Quotation are quoted and charged separately.
- Third-party charges are not ours. Bank charges, payment-gateway charges, BNPL fees, currency conversion, courier fees, medical centre fees, and similar charges by third parties are payable by you and are not refundable by us.
7. Government decisions: approval, rejection, conditions
- Sole discretion of the Authority. Approval, rejection, conditions, additional requirements, referral for security or background checks, holds, and later cancellation or revocation of any visa, permit or document are entirely at the discretion of the Authority. We accept no responsibility for any such decision or its consequences.
- Reasons may not be given. Authorities frequently do not disclose reasons for a rejection or hold. We pass on what we receive; we cannot obtain more than the Authority provides.
- Options after a rejection. Where the Authority permits, we may, at your request, prepare a resubmission, appeal or new Application. This is additional work, charged separately, and it carries no assurance of a different result.
- Consequences are yours. Any consequence of a rejection, delay, condition or cancellation — including travel disruption, inability to enter or remain in the UAE, loss of employment or a job offer, schooling, accommodation, business, fines, overstay penalties, absconding reports, detention or deportation costs — is your responsibility and not ours.
- Sponsor and applicant eligibility (such as salary thresholds, accommodation, relationship proof, age, medical fitness, insurance, criminal record and security status) is assessed by the Authority alone. A preliminary indication from us that you "appear to qualify" is not an assessment by the Authority.
8. Processing times and delays
- All timelines are estimates. Any timeframe we mention is based on the Authority's published or typical processing time at that moment and is not a commitment. Actual times depend on the Authority, your responsiveness, and factors we cannot see or control.
- Typical causes of delay include government portal downtime or maintenance, system errors, changes in policy or requirements, additional document requests, security or background checks, medical retests, public holidays, high volumes, banking delays, courier delays, and events beyond anyone's control.
- "Urgent" or "express" services only accelerate our own work or use an Authority's paid express channel where one exists; they do not guarantee faster processing by the Authority.
- Do not rely on estimates for commitments. You should not book non-refundable travel, resign from employment, give notice on accommodation, enrol children or make any other commitment in reliance on an estimated processing time. We are not liable for any loss if you do.
9. Cancellation, rejection and refunds
- Service Fee — before we start work: if you cancel before we have started any work on your Application, we refund the Service Fee less any third-party charges we have already incurred and the bank or payment-gateway charges of making the refund.
- Service Fee — after we start work: our Service Fee is non-refundable once we have started work on your Application (for example reviewing documents, typing, preparing or submitting), regardless of whether the Application is later approved, rejected, withdrawn, cancelled or abandoned by you, and regardless of the reason.
- Government Fees are paid to the Authority, not to us. Most Government Fees are non-refundable once an Application is submitted. Whether any part of them can be refunded after a rejection, cancellation or withdrawal, how much, and when, is decided by the Authority alone under its own rules. If the Authority does not refund, we cannot refund. Government refunds can take weeks or months.
- Obtaining a Government Fee refund is a separate service. A refund is not automatic. Where the Authority's rules allow one, it has to be applied for: we prepare and submit the refund request in your name, follow it up with the Authority, receive the funds and pay them out to you. This is additional work, outside the scope of your original Application, and is charged as a separate service at the refund-processing fee we disclose to you before we start. Because the work is the same whatever the Authority decides, the refund-processing fee is payable whether or not the Authority approves the refund, unless your Quotation says otherwise. You may instead apply to the Authority for the refund yourself.
- What you receive and how. We pass on to you exactly the amount the Authority actually returns to us, less the refund-processing fee and the bank and payment-gateway charges actually incurred, normally within 14 working days of the funds reaching our account. Refunds are paid only to the original payment method or to a bank account in the name of the person who paid us.
- No refund is due where the rejection, delay, cancellation or additional cost results from information or documents supplied by you or on your behalf; from your failure to attend, respond, approve, pay or comply; from a change of mind; or from a decision, requirement or policy of an Authority.
- Buy-Now-Pay-Later payments are refunded through the provider's own process and timelines; the provider's fees are outside our control.
- Chargebacks and payment disputes. Please contact us before raising a dispute with your bank or card issuer. A chargeback raised for services that have been rendered, or for Government Fees that have been paid to an Authority, will be contested with our records (including our WhatsApp correspondence and Authority receipts). We may suspend all pending services while a dispute is open, recover any resulting costs from you, and report abusive disputes to the relevant UAE authorities.
10. Documents in our custody
- We work with digital copies. Our service is designed so that you never need to hand over original documents. Please send clear scans or photographs only. Keep your originals.
- If you hand us originals (for example a passport for a process that requires it), we hold them at our office with reasonable care and return them only to you or to a person you authorise in writing, against identification. Please collect them promptly; we may ask you to collect documents that remain uncollected.
- Documents held by an Authority are subject to that Authority's procedures. We are not responsible for documents while they are with an Authority, a medical centre, a courier or any other third party.
- Couriers are independent third parties. Documents in transit are at your risk unless the loss is caused by our own fault, in which case section 13 applies.
11. Official channels, communication and electronic acceptance
- Our official channels are only these: WhatsApp +971 800 3627 (displayed as 800 DOCS / 800 3627); telephone 800 3627 (toll-free from the UAE); email addresses ending in @familyvisa.ae or @800docs.ae; our websites www.familyvisa.ae and www.800docs.ae; and our office at 709 Business Village, Block B, Port Saeed, Deira, Dubai. Any other number, website, social-media account, email address or person claiming to represent us is not authorised unless we have confirmed it to you from one of these channels. If in doubt, message us on the number above to verify.
- How you accept these Terms. You accept these Terms, in the version identified on this page and in the message we send you, when you do any of the following after we have sent you the link to this page: reply to continue or proceed; send us documents or information for an Application; make any payment to us; or otherwise use our Services. No signature is required.
- Electronic records are binding. In accordance with UAE Federal Decree-Law No. 46 of 2021 on Electronic Transactions and Trust Services, our WhatsApp conversations, emails, payment records, Authority receipts and system logs are valid records of your instructions, approvals and acceptance, and may be relied on by either of us as evidence.
- Instructions from your channel bind you. We are entitled to act on instructions received from the WhatsApp number or email address from which you contacted us, or from any person you introduce to us as acting for you (for example a spouse, relative, employer, HR or PRO staff), until you tell us otherwise in writing.
- Language. We communicate in English and, where our staff can, in other languages as a courtesy. These Terms, your Quotation and our records are in English. If we provide a translation of any of them, the English version prevails.
- Delivery of messages. We are not responsible for messages that do not reach you because of your device settings, blocked numbers, network problems, an outdated number or email, or outages of WhatsApp, email providers or telecom networks. Please check your messages regularly while an Application is in progress.
- Recording and retention. We keep our correspondence with you for the periods described in our Privacy Policy, for the purposes of performing the Services, complying with law and resolving disputes.
12. Fraud, compliance, refusal and termination
- Zero tolerance for fraud. If we suspect that any document is forged, altered or misused, that any statement is false, or that an Application is intended to mislead an Authority, we may immediately refuse, suspend or stop the Services without refund of the Service Fee, and we may report the matter and hand over the relevant documents and correspondence to the Authority, the Dubai Police or any other competent body without notice to you. You bear every consequence.
- Right to decline. We may decline any request at our discretion, including where it falls outside our licensed activities, appears unlawful or contrary to an Authority's rules, raises sanctions, anti-money-laundering or identity concerns, or involves abusive or threatening behaviour towards our staff. Where we decline before starting work, we refund any Service Fee paid for that request as described in section 9.
- Termination by you. You may stop an Application at any time by telling us in writing. Section 9 governs what is refundable. Where an Application has already been submitted, withdrawal is subject to the Authority's rules and fees.
- Termination by us for your breach. If you break these Terms, fail to pay, fail to cooperate, or behave abusively, we may end the Services with immediate effect. The Service Fee is not refundable in that case; Government Fees follow the Authority's rules.
- Survival. Sections 3, 6 (as to amounts due), 7, 9, 12 to 14 and 17 to 19 continue to apply after the Services end.
13. Limitation of liability
Please read this section carefully. It limits our liability to you.
- No liability for government decisions and acts. We are not liable for any decision, act, omission, delay, error, requirement, fee change, system failure, data loss, or policy of any Authority or government portal, or for any consequence of them, however caused.
- No liability for your information, documents or conduct. We are not liable for any loss arising from information or documents supplied by you or on your behalf, from details you approved, or from your failure to review, attend, respond, pay, keep track of deadlines or comply with the law or with an Authority's conditions.
- No liability for third parties. We are not liable for the acts, omissions, delays, charges or failures of banks, payment gateways, BNPL providers, couriers, medical centres, insurers, translators, attestation offices, typing centres, Emirates Post or other delivery services, telecom networks, WhatsApp or Meta, hosting or software providers, or any other third party, whether or not we introduced them to you.
- No liability for indirect or consequential loss. We are not liable for any indirect, consequential, special, punitive or economic loss of any kind, including loss of employment, income, salary, profits, business, contracts, opportunities, goodwill or reputation; costs of travel, tickets, hotels, bookings, relocation, schooling, accommodation, storage or replacement services; fines, penalties, overstay charges, deposits, detention or deportation costs; or stress, inconvenience or distress — even if we were told they might occur.
- No liability for events beyond our control (force majeure). We are not liable for any failure or delay caused by events beyond our reasonable control, including government portal downtime, changes in law or policy, security checks, public holidays, epidemics, strikes, power or internet outages, cyber-attacks, natural disasters, war, civil unrest, or acts of any Authority.
- No liability for website content and estimates. Our websites, calculators, quote links, articles, checklists and any general information are provided "as is" for information only. We are not liable for any decision you make in reliance on them.
- No liability for unauthorised payments. We are not liable for any amount paid other than through the authorised channels in section 6.
- Overall cap. To the fullest extent permitted by UAE law, our total aggregate liability to you and to anyone claiming through you, for all claims arising out of or in connection with an Application, the Services or these Terms, whether in contract, tort (including negligence), breach of statutory duty or otherwise, shall not exceed the Service Fee actually paid by you to us for that Application, excluding Government Fees, VAT and third-party charges.
- Our only warranty. We undertake to perform the Services with reasonable care and skill, in line with what a licensed typing and document-clearing business in Dubai would do. We give no other warranty, express or implied, and in particular no warranty as to the outcome, timing, validity or cost of any Application.
- What the law does not allow us to exclude. Nothing in these Terms excludes or limits any liability that cannot be excluded or limited under UAE law, including liability for our own fraud or wilful misconduct, or any consumer right that cannot be waived by agreement. Where any exclusion or limitation above is not permitted in full, it applies to the maximum extent that is permitted, and the rest of this section remains in force.
- Tell us promptly. If you believe we have made a mistake, please tell us in writing as soon as possible so that we can investigate and, where possible, put it right. Prompt notice helps us help you and limits any loss.
14. Your indemnity
You agree to indemnify, defend and hold harmless 800 DOCS L.L.C S.O.C, its owner, manager, employees, agents and affiliates from and against all claims, demands, investigations, fines, penalties, liabilities, losses, damages, costs and expenses (including reasonable legal fees) arising out of or connected with: any information or document supplied by you or on your behalf; any misrepresentation, concealment, forgery or breach of law by you or by any applicant, sponsor or dependant covered by your Application; your breach of these Terms; your immigration status, overstay, absconding report or breach of any visa or permit condition; any claim by a family member, employee, domestic worker or other person whose Application you instructed us to handle; any chargeback or payment dispute raised without proper cause; and any misuse of our websites, calculators or content.
15. Website, calculator and content
- Provided "as is". We try to keep our websites, calculators and articles accurate and available, but we do not guarantee that they are error-free, complete, current or uninterrupted. Government fees and rules shown may have changed. We may change, suspend or remove any part of our websites at any time.
- Information, not advice. Nothing on our websites is legal, immigration, tax or financial advice, and no client relationship is created by reading them. Your specific situation should be discussed with us or with the Authority before you act.
- Intellectual property. The design, text, images, videos, code, calculators, databases, logos and trademarks on our websites belong to 800 DOCS L.L.C S.O.C or its licensors. You may view and print pages for your own personal, non-commercial use. You may not copy, scrape, reproduce, republish, frame, sell or create derivative works from them without our written permission.
- Acceptable use. You must not misuse our websites or tools, attempt to gain unauthorised access, introduce malicious code, overload our systems, submit false information, or use them for any unlawful purpose.
- Reviews and feedback. If you give us a review, testimonial or feedback, you allow us to display it (with your first name or initials unless you ask otherwise) on our websites and marketing, and you confirm that it reflects your genuine experience.
16. Third-party services and partners
- Partners we may involve. To complete some Applications we may, with your knowledge, involve third parties such as medical fitness centres, typing or service centres in other emirates, legal translators, attestation offices, insurers (for example for the unemployment insurance scheme), banks, payment providers and couriers. We choose such partners with reasonable care.
- Their terms apply to their services. Each partner's own terms, fees and privacy practices govern the part of the process they perform. Our liability for their acts or omissions is limited as set out in section 13.
- Links to other websites, including government portals, banks and BNPL providers, are provided for convenience. We do not control them and are not responsible for their content, availability or practices.
17. Complaints, governing law and jurisdiction
- Talk to us first. If something has gone wrong, please contact us on WhatsApp +971 800 3627 or at info@familyvisa.ae / info@800docs.ae with your name, the Application concerned and what you would like us to do. We will acknowledge your complaint within two working days and aim to resolve it within fifteen working days. Most issues are resolved this way.
- Consumer protection. Nothing in these Terms limits your right, as a consumer, to raise a complaint with the Consumer Protection department of the Dubai Department of Economy and Tourism or any other competent UAE body.
- Governing law. These Terms, and any dispute or claim arising out of or in connection with them or with the Services (including non-contractual disputes), are governed by the federal laws of the United Arab Emirates and the laws of the Emirate of Dubai as applicable in Dubai.
- Jurisdiction. The onshore courts of Dubai have exclusive jurisdiction over any such dispute or claim.
18. Changes to these Terms — version control
- Every edition is numbered and dated. This page shows the version number and effective date of the Terms currently in force (see the label at the top of this page). We do not edit the wording of a published version. Any change to the wording is published as a new version with a new number and a new effective date, and each earlier version is kept permanently at its own address so that it can always be read.
- The version you accepted governs your Application. The version in force on the date you accepted these Terms for an Application (as described in section 11) continues to govern that Application, even if a newer version is published later. New versions apply to Applications accepted on or after their effective date.
- Changes required by law apply from the date the law requires, and we will reflect them in the next version.
- Where to check. The current version is always at www.familyvisa.ae/terms-and-privacy/. The version number is also stated in the message we send you before you proceed.
19. General provisions
- Entire agreement. These Terms, the Privacy Policy below and your Quotation form the entire agreement between you and us for each Application and replace any earlier discussion or understanding. Where the Quotation states a specific price, scope or condition, the Quotation prevails for that Application. No employee or agent has authority to vary these Terms verbally.
- Our relationship. We are an independent contractor. We act as your representative solely for the purpose of preparing and submitting Applications as described in section 3. Nothing creates a partnership, joint venture, employment or fiduciary relationship, or makes us the agent of any Authority.
- Severability. If any part of these Terms is held to be invalid or unenforceable, that part is applied to the maximum extent permitted or removed, and the remaining provisions continue in full force.
- No waiver. If we do not enforce a right or provision, that is not a waiver of it, and we may enforce it later.
- Assignment. We may transfer our rights and obligations under these Terms to a successor of our business; this does not reduce your rights. You may not transfer yours without our written consent.
- Notices. Notices to us must be sent to info@familyvisa.ae or info@800docs.ae, or to our office address. Notices to you may be sent to the WhatsApp number or email address you used to contact us and are deemed received when sent.
- Third parties. Apart from the persons indemnified in section 14 and the limitation of liability in section 13, which they may rely on, no third party has any right under these Terms.
- Headings and language. Headings are for convenience only. The English version of these Terms is the only authoritative version.

For any question or request about your data, contact us on WhatsApp +971 800 3627 or email info@familyvisa.ae or info@800docs.ae with the subject line "Privacy request".
2. What personal data we collect
Government Applications require detailed and often sensitive personal information. Depending on the service, we may collect the following about you, your family members, dependants, employees or domestic workers:
- Identity and contact details: full name, date and place of birth, gender, nationality, passport details, Emirates ID number and unified (UID) number, photographs, signature, home address in the UAE and abroad, telephone and WhatsApp number, email address.
- Family and personal status: marital status, marriage and birth certificates, relationship to the sponsor, names and details of spouse, children and parents, and religion where a government form requires it.
- Immigration and travel data: current and previous visas, entry permits, residence permits, entry and exit records, file numbers, sponsor details, visa status and history, and any communication received from an Authority about you.
- Employment and financial data: employer and job title, labour contract, salary certificate, payslips, bank statements, trade licence and company documents, tenancy contract (Ejari), title deeds and property valuation, tax returns and other proof of income or assets required for the Application.
- Health data: medical fitness test results, vaccination records and health insurance details, only to the extent an Authority requires them for your Application. Medical tests themselves are carried out by the Authority's approved medical centres, not by us.
- Payment data: the name of the payer, the payment method, bank account details for refunds, and transaction references. Card payments are processed by our payment providers; we do not store full card numbers on our systems.
- Communications: the content of your WhatsApp messages, emails, calls and office visits with us, including the documents and images you send, notes made by our staff, and the instructions and approvals you give.
- Website and technical data: IP address, device and browser type, language, pages visited, referring website, inputs you enter into our calculators and quote tools, and identifiers set by cookies and similar technologies (see section 8).
- Reviews and feedback you choose to give us.
3. Where the data comes from
- From you, when you contact us, send documents, fill in a calculator or form, make a payment or visit our office.
- From people acting for you or with you, such as your spouse or relative, your employer's HR or PRO staff, or a friend who contacts us on your behalf, and from sponsors who provide their dependants' documents.
- From Authorities, in the form of application status, requests for further documents, approvals, rejections, receipts, and the visas, permits and documents they issue.
- From service partners involved in your Application, such as medical centres (where you authorise them to send results to us), insurers, translators and couriers.
- From technology providers such as Google (aggregated analytics and advertising interaction data) and WhatsApp/Meta (message delivery data), as described in sections 6 and 8.
4. Why we use it and on what legal basis
- To perform our contract with you: to assess what your Application requires, prepare and type it, submit it to the Authority, pay Government Fees, follow up its status, communicate with you, deliver results and provide customer support.
- To comply with the law: UAE immigration and residency law, commercial and tax record-keeping rules, anti-money-laundering and know-your-customer obligations, and lawful requests from courts, regulators and law-enforcement bodies.
- With your consent: for health data, religion and other sensitive data that an Application requires; for the data of children and dependants provided by a parent or sponsor; for non-essential cookies; and for any marketing messages. You may withdraw consent at any time (see section 11), although this may mean we cannot continue an Application that depends on the data.
- For our legitimate interests, balanced against your rights: preventing fraud and misuse of documents, securing our systems and premises, keeping business records, improving our services and websites, understanding how our marketing performs, and establishing, exercising or defending legal claims.
- No automated decisions about you. Our calculators produce estimates automatically, but we make no decision with legal or similarly significant effect about you by automated means. Decisions about your Application are made by the Authority.
- No sale of data. We do not sell, rent or trade personal data, and we do not share it with marketing agencies or data brokers.
5. Who we share it with
We share personal data only as needed for the purposes above, with:
- Government Authorities to which your Application is submitted or which are involved in it, including GDRFA Dubai, ICP, MOHRE, DLD, MOFA, DHA, MOHAP, Dubai Courts, the Department of Economy and Tourism, Emirates Post or other ID delivery services, and the official typing and submission systems they operate. Once submitted, your data is held by the Authority under its own rules, which we do not control.
- Medical centres, typing and service centres, translators, attestation offices, insurers and couriers that perform a step of your Application, where we book or coordinate that step for you.
- Payment providers: our bank (Emirates NBD), payment-link and card-processing providers, and Buy-Now-Pay-Later providers (Tabby, Tamara) when you choose to pay through them.
- Technology providers acting on our instructions: website hosting, email, cloud storage, document management, business software (including our internal dashboard and ERP), messaging tools including WhatsApp Business, and IT support, all bound by confidentiality and data-processing obligations.
- Google, for website analytics and advertising measurement as described in section 8.
- Professional advisers such as lawyers, accountants and auditors, under professional confidentiality.
- Law enforcement, regulators and courts when required by law, court order or a lawful request, and, without prior notice to you, when we detect forged documents or suspect fraud, as explained in section 12 of the Terms.
- A successor of our business in the event of a merger, sale or restructuring, under equivalent confidentiality.
- Anyone you ask us to share with, for example your employer, your sponsor or a family member.
6. WhatsApp and messaging
- Our main channel is WhatsApp on +971 800 3627. WhatsApp is a service of Meta Platforms. Messages are end-to-end encrypted in transit, but Meta processes account and delivery information under its own privacy policy, which you accept by using WhatsApp. If you prefer not to use WhatsApp, you may contact us by email or visit our office.
- Send only what we ask for. Please do not send documents or details beyond what is needed for your Application, and do not send them to any number other than our official number.
- Who sees your messages. Your conversation is handled by our authorised staff on company-managed devices and systems. Access is limited to the people working on your Application and to management for supervision, quality and dispute purposes.
- No groups or broadcasts without consent. We do not add you to WhatsApp groups or marketing broadcast lists unless you ask us to, and you can opt out at any time by replying "STOP".
7. International transfers
Your Applications are prepared and submitted in the UAE, and our records are primarily held in the UAE. Some of the technology providers we use, including WhatsApp/Meta, Google, and email or cloud providers, may store or process data on servers outside the UAE, including in the European Union and the United States. We use such providers only where the transfer is permitted under UAE data-protection law, relying on the provider's contractual and security safeguards and, where required, on your consent given by using that channel.
8. Cookies, analytics and advertising
- What we use. Our websites use Google Tag Manager to manage tags, Google Analytics 4 to understand how visitors use our pages (pages viewed, buttons clicked, calculator use, approximate location, device type), and Google Ads conversion tracking and remarketing so that we can measure our advertising and show relevant advertisements to people who have visited our websites. These tools set cookies and similar identifiers on your device (for example
_ga,_ga_*,_gcl_*) and may collect your IP address, device information and the pages you visit. - Essential cookies and storage are used for security, language preference, remembering choices you make on the site, and keeping your calculator inputs available to you. These do not require consent.
- Your choices. You can block or delete cookies in your browser settings, opt out of Google Analytics with Google's browser add-on, and control the advertisements Google shows you at adssettings.google.com. Blocking cookies may affect some features of our websites, such as the calculator.
- Advertising on other platforms. If you reach us through an advertisement or a link on a third-party platform, that platform may record your click under its own privacy policy. We receive only aggregated campaign statistics, not your identity, unless you then contact us.
- No cross-site profiling by us. We do not combine analytics data with the documents you send us, and we do not use your Application data for advertising.
9. How long we keep your data
- Active Applications: for as long as needed to complete the Application, deliver the result and handle any follow-up.
- Completed Applications and payment records: generally for five years after the end of the year in which the service was completed, which is the period UAE commercial and tax law requires us to keep business records, and long enough to handle refunds, renewals, disputes and Authority queries.
- Enquiries that do not become an Application (for example a calculator estimate or a WhatsApp question): generally up to twelve months, unless you contact us again.
- Documents we no longer need (for example extra files you sent that were not required): deleted at the end of the Application or earlier on your request.
- Legal holds: where a dispute, investigation or legal obligation requires it, we keep the relevant data until the matter is closed.
- Data held by Authorities is kept under their own retention rules; we cannot delete it.
At the end of the retention period we delete the data or anonymise it so that it can no longer identify you.
10. How we protect it
- Technical and organisational measures: access limited to authorised staff on a need-to-know basis, company-managed devices and accounts, encryption of data in transit, secure hosting, activity logging on our internal systems, confidentiality obligations for all staff, and data-processing terms with our providers.
- Physical security at our office for any originals or printed material, which are kept out of public view and returned or securely destroyed when no longer needed.
- Incident response. If a personal data breach occurs that is likely to put your rights at risk, we will notify the competent UAE authority and, where required, you, without undue delay.
- Your part. No transmission or storage method is completely secure. Please verify that you are messaging our official number, never pay anyone other than through our authorised channels, and keep your own devices and accounts protected.
11. Your rights
Subject to UAE law, you have the right to:
- Access the personal data we hold about you and receive a copy of it.
- Correct data that is inaccurate or incomplete.
- Delete your data where we no longer need it and are not required by law to keep it.
- Restrict or object to certain processing, including any direct marketing.
- Receive your data in a portable format where we process it by automated means on the basis of your consent or contract.
- Withdraw consent at any time for processing based on consent, without affecting processing already carried out.
- Complain to us and, if you are not satisfied, to the competent UAE data-protection authority.
To exercise a right, message us on WhatsApp +971 800 3627 or email info@familyvisa.ae or info@800docs.ae. We will verify your identity before acting, and we will respond within thirty days, or tell you if we need longer. Some limits apply: we cannot alter or delete data that has already been submitted to an Authority, we must keep records that the law requires us to keep, and we may refuse requests that would affect another person's rights or that are clearly excessive.
12. Children and dependants
Many Applications concern children under 18 and other dependants. Their data is provided to us by a parent, guardian or sponsor, who confirms that they are entitled to provide it and consent to its use for the Application. We use it only for that purpose and protect it in the same way as all other data. Our websites are not directed at children, and we do not knowingly market to them.
13. Other websites and government portals
Our websites link to government portals, banks, payment providers and other third-party sites. Those sites have their own privacy practices, which we do not control and for which we are not responsible. Please review their policies before providing them with any information.
14. Changes to this Policy
This Policy is part of the same document as our Terms & Conditions and is subject to the same version control: the version number and effective date shown at the top of this page apply to both. We do not edit a published version; any change is published as a new version with a new effective date, and earlier versions remain available at their own addresses.
